OpenKM 7.0 CE

Starting with version 7.0.0, the OpenKM Community version is available under a BSD-style license, with no source code provided.

OpenKM is an Electronic Document and Records Management System (EDRMS). Much of the literature about document management terms such as DMS, EDRMS, or CMS is usually influenced more by marketing considerations than by objective reasons.

In most cases, the differences between DMS, CMS, and EDRMS are subjective or irrelevant from a document management point of view. The term CMS has had some marketing success and is most commonly used. However, we prefer the term EDRMS, perhaps with less success in the marketing world, but is stricter and more representative from our point of view.

OpenKM helps you to:

  • Day-to-day data capture.
  • Storage.
  • Modify and share physical or digital documents within the organization.
  • Apply retention periods to stored items.
  • Identify the owner of each record series and document.
  • Set a chain of custody and a proper audit trail.
  • When needed, apply legal record holds.
  • Manage records disposition.
  • Preserve records throughout their life cycle.

Some of OpenKM's goals are:

  • Increase efficiency: faster document approvals, reduced manual data entry, and automated recurring tasks.
  • Set compliance levels. The system helps organizations avoid penalties when regulators, auditors, or government authorities conduct inspections.
  • Preserve historical content. Track a document's status (determined by its lifecycle phases).
  • Consolidate the company's knowledge into a single access point.

The maxim of the OpenKM technical staff is "Try finding the easy solution for each problem. If you cannot find it, try again."

Although we've tried to give our powerful application what it needs to solve problems with a minimalist solution, sometimes it is impossible. OpenKM can solve complex day-to-day scenarios; it is not a secure application, but it has many features that can be used and configured in several ways.
