Working with the toolbar

OpenKM 7.1 comes with two user interfaces, called "classic" and "kcenter". Although both are functionally very similar, the layout and the way they are used may have significant differences. This page is based on the "classic" user interface. If you are using the "kcenter" user interface and are unsure how to access any of these features, please create a ticket in the support website.

The toolbar section has the most common features like downloading documents, creating new folders, editing, or uploading files, among others. The toolbar is made up of buttons with the main functions that the user will most frequently use. As with the menu bar, occasionally the buttons will appear greyed out, meaning that they are not available.

 

The features described below are the default ones. Your toolbar may show others not described here if you have OpenKM extensions enabled.

The Massive column in the tables indicates that you can select several nodes at the same time in a browser panel to apply the same action.

Finds a folder in the repository.

Finds a similar document in the repository. The feature is based on a search engine heuristic that, based on the contents of the selected document, returns similar documents.

This feature is only enabled when a document is selected in a browser view.

Create folder

 Creates a new folder in the selected node of the navigator panel.

Download document
 

Downloads the selected document in a browser panel.

 Download document as PDF

Downloads the selected document in a browser panel in PDF format.

The feature is enabled when it is possible to convert the document to PDF format.

Lock

Locks the selected document in a browser panel.

 Unlock

Unlocks the selected document in a browser panel.

Yes.

Add document

Uploads a new document to the selected node of the navigator panel.

When the option "Import documents from ZIP" is checked, you import the contents of a ZIP file respecting the hierarchy of the folder tree. If you have problems with filename encodings, please take a look at Client configuration.

When the option "Notify to users" is checked, you can send an email notification to other application users.

Optionally, based on Administration > Profiles configuration or Administration > Automation, a wizard is shown. The wizard can require you to set metadata groups, categories, or keywords.

Edits a document (check-out).

Uploads a new document version (check-in).

Deletes the selected node.

Cancels document editing.

Add subscription

Subscribes to the selected node.

You can subscribe to any node type (document, folder, mail, or record). If you are subscribed to a particular node of type folder or record, you'll be notified by email when any change in that node or its children hierarchy occurs. Keep in mind that in order to receive these email notifications you have to configure which events you want to be notified about in the user profile. See Profile Notification tab for more info.

Starts a workflow on the selected node in a browser panel.

You can start a workflow on any node type (document, folder, mail, or record).
