OpenKM 8.2

OpenKM is an Electronic Document and Record Management System (EDRMS). Much literature about document management terms like DMS, EDRMS, or CMS is often more influenced by marketing than by objective reasons.

In most cases, the differences between DMS, CMS, and EDRMS are subjective or irrelevant from the document management point of view. The term CMS has had some marketing success and is the most commonly used. However, we prefer the term EDRMS, perhaps with less success in the marketing world but stricter and more representative from our point of view.

OpenKM helps you to:

  • Storage.
  • Modify and share physical or digital documents within the organization.
  • Apply retention periods to stored items.
  • Identify the owner of each record series and document.
  • Set a chain of custody and proper audit trail.
  • When needed, apply legal holds to records.

  • Preserve records throughout their life cycle.

Some of OpenKM’s goals are:

  • Increase efficiency: faster document approval, reduced manual data entry, and automated recurring tasks.
  • Set compliance levels. The system helps the organization avoid penalties when regulators, auditors, and government authorities summon it for inspections.
  • Preserve historical content. Track a document’s status (determined by its lifecycle phases).
  • Consolidate the company’s knowledge into a single access point.
